Responsibilities:

  1. Ensure accurate filing and management of all office documents, including EFD invoices, contracts, and correspondence, to facilitate easy retrieval and proper recordkeeping.
  2. Oversee general office operations, including cleanliness, maintenance, and supply inventory, to maintain a professional and functional workspace.
  3. Act as the point of contact for customer inquiries, ensuring professional communication and timely resolution of concerns.
  4. Liaise with regulatory authorities such as OSHA, NSSF, and TRA to ensure compliance with legal and operational requirements.
  5. Manage the procurement of office essentials such as stationery, water, and other supplies to support seamless operations.
  6. Assist with scheduling and coordinating meetings or appointments and providing general administrative support to the manager and team.
  7. Monitor and maintain office equipment, reporting any issues or coordinating necessary repairs to ensure uninterruptedoperations.

Requirements and Qualifications:

  1. A minimum of a Certificate, Diploma, or bachelor’s degree in business administration, Public Administration, Human Resources management, or a related field.
  2. At least 2 years of experience in office administration, preferably within the automotive industry.
  3. Proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
  4. Strong organizational and multitasking skills with attention to detail.
  5. Excellent verbal and written communication skills in both English and Swahili.
  6. Experience in customer service or handling customer inquiries.
  7. Ability to work independently and manage tasks efficiently in a fast-paced environment.
